1
Create an estimate
Tap Estimates in the bottom bar, then tap the + button (Add Estimate on the web app). In the Work section, tap Add line item and enter a description, quantity, and unit price — the total calculates automatically. Tap Add from price book to add a saved service at its set price or a material at your cost plus markup (see the Price Book guide).
Got a lead? Open it from the Leads tab in your Inbox and tap Convert to Estimate. The new estimate starts with the lead's name, phone, email, address, and request filled in, and the client is added to your clients when you save it.
2
Discounts, deposits, and contracts
Tap + Add discount to take money off the total. In the Terms section, turn on Require Deposit to collect a deposit up front, or Include Contract to have the client e-sign before accepting. You can also add notes and photos to the estimate.
3
Use AI Estimate Assist
Tap AI Estimate Assist and describe the job in plain English — for example, "200 amp panel upgrade with new meter base, 10 circuits." The AI generates a starting set of line items you can review and adjust. Free accounts get 3 AI estimates; Solo and Crew plans are unlimited.
4
Your prices come first
AI Estimate Assist prices parts from the materials in your Price Book first — anything you've saved is priced at your exact saved price and marked Your Price. Items not in your library are priced using market estimates. A banner on the results shows how many items were priced from your material database.
The more materials you save in your library, the more accurate AI estimates become — your real prices beat market guesses every time.
5
Send the estimate
Tap the estimate in your list to open the preview, then tap Send. Choose Text (phone app) to text the client a link, Email to email it, Copy link to copy the client's private link and paste it anywhere, or Share to send the PDF from your phone (Print on the web app). The client gets a link to view the estimate online. Copying the link doesn't mark the estimate as sent. To email several people, separate the addresses with commas — up to 49 per send.
6
See when it's viewed
When your client opens the link, the estimate shows when it was viewed, for example Viewed today or Viewed 3x · last Oct 14. You get a notification the first time it's opened. A Draft estimate moves to Pending the first time the client views it.
7
Client response
On the estimate page your client can tap Accept estimate, Request changes (with a note to you), or Decline estimate. You'll get an email, a push notification, and an Inbox update, and the estimate's status changes to Accepted, Changes Requested, or Declined. If the estimate requires a deposit, it stays Deposit Pending until the deposit is paid.
8
Turn it into an invoice
Open an accepted estimate and tap Create Invoice — the line items carry over, so there's nothing to retype. If the client pays a required deposit online, a deposit invoice is created for you automatically.
9
Follow up
Estimates sent 5 or more days ago with no response, and draft estimates with no line items, show under Needs attention at the top of Estimates. Tap Follow up to send the estimate again, or Finish to open the draft. Tap the bell icon to snooze a row for 7 days, or tap the Needs attention heading to collapse the panel. The number on the Estimates tab counts these items.
