Invoices

Send professional invoices and record every payment

← All topics
1
Create an invoice
Tap Invoices in the bottom bar, then tap the + button (Add Invoice on the web app). Tap Add line item or Add from price book, and use + Add discount if needed. You can also start from an estimate — tap Create Invoice on an accepted estimate, or use Load from Estimate inside the invoice form.
Completed jobs that haven't been invoiced yet show under Needs attention at the top of Jobs. Tap Invoice there to create one pre-filled from the job.
2
Set payment terms
Choose Payment Terms — Due on Receipt, Net 15, Net 30, Net 45, or Net 60 — and the due date is calculated for you from the invoice date.
3
Send the invoice
Tap the invoice in your list to open the preview, then tap Send at the bottom. Choose Text (phone app) to text the client a view-and-pay link, Email to email them a link to view and pay online, Copy link to copy the client's private link and paste it anywhere, or Share to send the PDF from your phone (Print on the web app). Copying the link doesn't mark the invoice as sent. To email several people, separate the addresses with commas.
4
See when it's viewed
When your client opens the link, the invoice shows when it was viewed, for example Viewed today or Viewed 3x · last Oct 14. You get a notification the first time it's opened. A Draft invoice moves to Pending the first time the client views it.
5
Client pays online
Once Stripe is connected, the invoice page shows Pay by card and Pay by bank transfer buttons, plus any other payment methods you've listed, like Venmo or Zelle. Online payments are recorded on the invoice automatically.
6
Take a card in person with Tap to Pay (Android)
In the Android app, open a Pending or Partial invoice and tap Tap to Pay, next to Record payment. It needs Stripe connected. The amount starts at the balance due; enter less to take a partial payment. Your client taps their card or phone on yours, and the payment is recorded on the invoice automatically. If Pass card processing fee to client is on (Business Profile → Payment Methods), the fee of 2.7% + 15¢, capped at 3%, is added and shown before the tap.
7
Record cash and check payments
When a client pays another way, open the invoice and tap Record payment. Enter the Amount, Payment Method (cash, check, card, bank transfer, or other), an optional note such as a check number, and the Date Paid — and tick Email receipt to client if you want to send a receipt. Partial payments are supported: the invoice tracks what's been paid and what's left, and the PDF is marked PARTIALLY PAID until it's settled.
8
Send a receipt
After an invoice is paid or partly paid, tap Send on the preview and choose Receipt (Resend receipt if you already sent one) to send a payment receipt to your client. If the client paid a card processing fee, the receipt and the PDF show it.
9
Outstanding and invoices to chase
The Outstanding row at the top of Invoices shows what you're owed, with how many invoices are unpaid and overdue. Tap it to see your unpaid invoices. Below it, Needs attention lists overdue invoices and draft invoices with no line items. Tap Remind to send an overdue invoice again, or Finish to open the draft. Tap the bell icon to snooze a row for 7 days, or tap the Needs attention heading to collapse the panel. The number on the Invoices tab counts these items.
